Year-End Inventory Counts in Phoenix: How to Staff Your Physical Count the Right Way

For many warehouses and distribution centers, the year doesn't end on December 31st.

It ends when the physical inventory count is finished and the numbers match.

Year-end counts are one of the most important days on the calendar. Your financial statements, tax filings, reorder points and shrink numbers all depend on them.

They're also one of the hardest days to staff. You need a lot of careful people for a short window, usually while the rest of your operation is trying to keep moving.

Here's how Phoenix-area operations can plan their year-end count so it's fast, accurate and done right the first time.

Why Year-End Counts Need Extra Hands

A full physical count can require counting every location in the building in a short period of time, often over a weekend or a planned shutdown.

Your regular team still has to receive, pick and ship before and after the count. Pulling everyone onto counting can leave the rest of the operation short.

Temporary staff can take on counting, recounting, tagging and staging work so your experienced people can focus on supervising, resolving variances and keeping customers served.

How Many Counters Do You Need?

Every building is different, but a few questions will help you estimate:

How many locations, bins or pallet positions need to be counted?

Are you counting by unit, by case or by pallet?

Are counters using handheld scanners, count sheets or both?

How many hours do you have before the building needs to reopen?

Do you plan to use two-person count teams or blind recounts?

A staffing partner can help you turn those answers into a realistic headcount, with a small buffer in case someone doesn't show up.

Book Your Labor Early

Late December and early January are busy for everyone. Retail returns, holiday events and other companies' inventory counts all compete for the same workers.

If you wait until the week before your count, you may not get the number of people you need.

The best time to plan is now. Lock in your count date, give your staffing partner a headcount estimate and confirm the details as the date gets closer.

Train Counters Before the Count Starts

Accuracy matters more than speed on count day.

Before the first location is counted, give every counter a short, clear briefing:

How to read location labels and item numbers.

How to count cases versus units.

How to use the scanner or count sheet.

What to do with damaged, unlabeled or misplaced items.

Who to ask when something doesn't make sense.

Fifteen minutes of training at the start can save hours of recounts later.

Keep Teams Organized

Assign each count team a specific zone and a clear list of locations.

Mark counted locations so nobody counts the same area twice or skips one.

Pair newer counters with someone who knows the building whenever possible.

Plan for a recount team to verify locations with large variances before the count is closed.

Don't Forget Safety

Count day often means people working in aisles and on racking they don't normally access.

Make sure counters know where equipment will be moving, which areas are off-limits and that only certified operators use forklifts or lifts to reach high locations.

Rushed counts are where accidents happen. A safe count is a better count.

After the Count

Once the numbers are in, your team still has work to do. Variances need to be researched, adjustments posted and the building put back in order before normal operations resume.

Keeping a few temporary workers on for cleanup, re-slotting and restocking can help you get back to full speed faster.
